Role Purpose
The Fit-Out Projects Manager at EJAZ® CREATIVE STUDIO leads the planning and execution of multiple fit-out projects, ensuring timely delivery, budget control, and adherence to EJAZ’s SOP. The role oversees internal and external teams, including the Subcontractors, aligns deliverables with client expectations, and maintains effective stakeholder communication. It also includes ensuring proper documentation and developing a strong vendor database to support efficient procurement.
Key Responsibilities
Develop detailed project plans including Gantt charts and a budgeting Sheet.
Initiate early site condition assessments and ensure all necessary documents are submitted to avoid later scope creep.
Conduct regular site inspections to ensure compliance with the timeline and design.
Onboard clients into the project execution process by explaining stages, timelines, deliverables, and communication protocols.
Lead client meetings, providing clear updates on progress, challenges, and approvals required.
Review and send a weekly project report including progress, issues, and risk mitigation strategies.
Coordinate closely with the ID team to resolve the Details drawing issues.
Suggest value-engineering solutions without compromising design or functionality.
Document all project-related conversations as per the EJAZ SOP. This includes any verbal directives or instructions from clients, subcontractors, or vendors.
Utilize digital project management tools (e.g., Odoo) to track tasks, manage teams, and streamline collaboration.
Maintain a transparent communication channel with all internal and external resources & stakeholders.
Collaborate with the procurement team to ensure the timely acquisition of materials and services.
Review BOQs, materials, and shop drawings.
Monitor project costs, validate contractor invoices, and manage project budget variations.
Supervise and mentor site engineers and the Procurement Team.
Enforce discipline, timekeeping, and professional conduct on project sites.
Handover & Project Closure
Prepare and submit a comprehensive project closure report to the client upon completion.
Lead handover meetings with clients and ensure complete documentation submission.
Conduct a lessons-learned session after completing each project with the participation of all relevant team members and direct managers.
Stay ahead of interior design & fit-out trends and integrate innovations.
Promote a culture of creativity, learning, and feedback within the team.
Identify opportunities to improve Fit-out workflows and software adoptions.
